ShootCal Galleries ("we", "us"), operated by Ryan Smith Photography, LLC, provides photo-gallery hosting and delivery for photographers ("Studios") and their clients. This policy explains what we collect and how we use it.

Information we collect

How we use it

We do not sell your data or your clients' data, and we do not use your photos to train any model or for advertising.

Roles and your clients' photos

For the photos and client information in your galleries, the Studio is generally the data controller and ShootCal Galleries acts as a processor that hosts and delivers them under the Studio's direction. For print orders, the Studio is the seller and determines its customer-service and tax obligations, while we also process order information for payment coordination, fulfillment, fraud prevention, legal compliance, and recordkeeping.

Where your data is stored and who processes it

Images are stored with Backblaze B2; transactional email is sent via Brevo; payments are handled by Stripe; and sign-in or studio-admin conversion measurement may use Google. Print orders are produced and shipped by WHCC (White House Custom Colour), which receives the ordered image files, product and crop instructions, recipient name and contact information, and shipping address needed to fulfill the order. These providers process data to deliver their part of the service. Data is transmitted over encrypted connections, and protected galleries require a link, password, or PIN as configured by the Studio.

Retention and deletion

We keep your account and gallery content until you delete a gallery or close your account, subject to backup, security, fulfillment, and legal requirements. Deleting a gallery normally removes its photos (including full-resolution originals) from active storage, and download-link archives are automatically deleted after about 7 days. For a website inquiry accepted by our email provider, ShootCal removes the visitor's name, email address, and message from its delivery record after 30 days; we retain a non-content delivery record and cryptographic fingerprints to prevent duplicate sends and diagnose delivery. An inquiry that is still pending, or whose provider outcome is uncertain, is retained while reasonably needed to complete or safely resolve delivery. The receiving Studio and email provider may retain their delivered copies under their own policies. If a gallery has a print order, the associated gallery, ordered images, and related order content may remain protected from deletion while reasonably needed to fulfill or support the order, document the transaction, or resolve a refund or dispute. Order, transaction, tax, fulfillment, refund, dispute, consent, and support records may likewise be retained after related gallery content or an account is deleted for as long as reasonably necessary to complete orders, provide support, maintain financial and tax records, resolve disputes, prevent fraud, enforce agreements, and comply with law. We delete or de-identify protected content and records when they are no longer needed or required. To delete your account and associated data, or to request access to or export of your data, contact us at support@shootcal.com and we will act on your request, subject to records we must or are permitted to retain.

Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal information. Studios' clients should direct such requests to the photographer who created their gallery; we will assist the Studio in fulfilling them. To exercise a right with us directly, email support@shootcal.com.

Children

The service is intended for photographers and their adult clients and is not directed to children under 13. Photographs of minors uploaded by a Studio are handled the same as any other gallery content, under the Studio's direction and responsibility.

Changes

We may update this policy; material changes will be reflected by the "last updated" date above.
